Account Offboarding

Cancelation Policy

Last Updated: May 2026 Data Protection Guaranteed

1. Cancelation Procedure

Clients may cancel their KRAVES Suite subscription at any time. To initiate cancellation, account administrators must submit a request through the Client Settings Panel or email kraves@resonira.com. Cancellation requests made via telephone or live chat will not be processed to prevent unauthorized service termination.

2. Notice Periods

To allow for smooth database operations and prevent abrupt system closures, notice requirements are determined by subscription type:

  • Monthly Plan: Cancellation requests must be submitted at least 7 days prior to the next billing date. If submitted later, the next cycle will charge normally and cancellation will take effect at the end of that billing period.
  • Annual Plan: Cancellation requests must be submitted at least 30 days prior to the annual renewal date. Cancellation requests made mid-term do not entitle the client to a pro-rated refund, but allow access to the platform until the annual subscription expires.

3. Database Retrievability & Post-Cancelation Data

Upon cancellation, access to modules (such as BGV verification history or virtual employee rosters) will continue until the end of the current billing cycle. Following the cycle:

  • Your tenant database is placed into a "dormant" state for 30 days. During this period, administrators can request a complete SQL database download or CSV export of all HR and candidate records.
  • At the end of the 30-day grace period, all data associated with the tenant will be permanently deleted from our primary servers and production partitions, conforming to standard GDPR and ISO data destruction laws. Backup copies are purged within 90 days.

4. Outstanding Balances

Cancellation does not erase outstanding debts. Any outstanding billing invoices or unresolved compliance audit fees must be paid in full before an account can be closed in good standing.
